Housing and Travel

 

Seattle is the gateway to the Pacific Northwest and offers the best of both urban and outdoor experiences. It's a world-class metropolis set within wild, beautiful natural surroundings, offering the best of urban lifestyle while embracing the rugged outdoors. Three national parks lie within a two-hour drive of Seattle. Mt. Rainier National Park features the snow-capped 14,000 foot mountain which backdrops the city's skyline. Olympic National Park has the only temperate rain forests in the continental US and the North Cascades National Park offers stunning vies of jagged peaks and glacial lakes.  Description provided by Visit Seattle.

 

Housing is available at the University of Washington, Seattle campus, Watertown Hotel and University Inn. Details regarding the various housing options are listed below.

 

Housing Options

 

University of Washington, Seattle Campus Housing Reservations

 

Deadline for receipt of reservations is June 26, 2014.

Single Occupancy: $603.54

Double Occupancy: $428.54 per person

 

Package includes:

  • five nights of housing
  • five breakfasts, four lunches and four dinners
  • $20 nonrefundable Housing Reservation Fee
  • Applicable sales tax

 

The University of Washington is a pedestrian campus and the residence halls are within a ten to fifteen minute walk of most meeting facilities on campus. Housing and dining services are offered as a package plan for Tuesday, July 29 through breakfast on Sunday, August 3, 2014. There is no credit for shorter stays or unused dining allotments. Reservations are nontransferable. Each guest must fill out a separate reservation form and submit payment. Reservations and full payment must be submitted no later than Tuesday, July 8, 2014. Reservations received after this date are charged a $25 late reservation fee (plus applicable tax) and are only processed on a space-available basis.

 

Conference guests will reside in double or single occupancy rooms with private baths on west campus. All rooms are furnished with twin-size beds, desks night stands, dressers, bedding, towels, a small fan, soap, toilet paper and drinking cups. Housekeeping exchanges guest towels and empties wastebaskets each day.

 

Children 8 years of age or younger may bring a sleeping bag to use on the floor of a fully-occupied room at no additional charge. Children 9 years of age or older must occupy a bed and are charged the full package rate. A fully occupied room is one in which all available beds have been paid for at the package rate. Cots, cribs, or extra bedding for children are neither provided or available.

 

Telephones providing guests with free local calls are available at the conference desk. Residence halls are not air conditioned. Smoking is prohibited everywhere on campus, including the residence hall sleeping rooms.

Roommate Bulletin Board

 

An electronic bulletin board is available to facilitate finding a roommate. Registrants can post messages regarding what type of roommate they are looking for (male or female) and the participants will respond directly to the registrant.
 


Payment

 

Reservations will not be processed unless full payment is received with the reservation. Advance payment must be made in US dollars by check or Visa/MasterCard.

  • Reservations paid by check must be mailed. Checks must be drawn on a US bank account, made payable to the University of Washington and mailed with the printed reservation form. The University of Washington charges $25 for all returned checks.

  • Reservations paid by Visa/MasterCard may be submitted online, faxed or mailed. Your online reservation authorizes the University of Washington to charge your credit card for costs incurred after this form has been signed. Additional charges can be, but are not limited to, additional nights of lodging, dining, parking, damages or unreturned keys.

  • The University of Washington reserves the legal right for recovery of reasonable attorney fees, court costs and other reasonable collection costs including payment of collection agency fees.


Confirmations

 

Once the housing reservation and full payment have been processed, the guest will be sent an email confirmation. The check-in location, travel directions to campus and additional information will be included in the confirmation.

 


Cancellations

 

Reservation cancellations should be sent to confhous@u.washington.edu. Cancellations received on or before Tuesday, July 8, 2014,will receive a full refund less the housing reservation fee (plus applicable tax). If the cancellations is received after July 8, 2014 but before the scheduled arrival date, the prepayment less the housing reservation fee, the late reservation fee (if applicable) and one day of room and board (plus applicable tax) will be retained and the balance will be refunded. If no advance cancellation is received and the registrant does not check in, no refund will be issued.


Campus Housing Check-in

 

Guests may check in any time after 2:00 pm and must check out by 11:00 am, unless the confirmation states otherwise.

 

Room keys lost during the meeting will be charged to the individual at the time of replacement at the cost of $100.00 (plus applicable tax) per set or the actual cost of the key core replacement (plus applicable tax). Room keys not returned directly to a Conference Desk by a guest at checkout will result in an immediate lock change for which the individual will be charged at the cost of $100.00.


Early Arrivals and Late Departures

 

Early Arrivals and Late Departures will be accepted on a space-available basis for the nights of July 27, 28, August 3 and 4, 2014 at a rate of $60.00 per person per night, double occupancy and $95.00 per person, single occupancy. The rates do not include meal service. There is no refund for canceled Early Arrival or Late Departure nights after the reservation deadline date (Tuesday, July 8, 2014).

Travel

 

The Seattle-Tacoma International Airport (SEATAC) is located about 45 minutes from the campus.

 


Shuttles and Taxis

 

Taxis and shuttles meet all arriving flights. Shuttle Express and Super Shuttle offer frequent trips between the airport and the University. Shuttles cost approximately $36 for one way. Attendees are encouraged to make reservations in advance. Advance reservations are required for return trips to the airport 24 hours ahead of the desired pick up time. It is possible to book a round trip.  Taxis cost approximately $50.

Parking

 

A limited amount of long-term parking is available for overnight guests near the residence halls, and carpooling is strongly encouraged. Availability is limited and not guaranteed. Parking fees are payable upon entrance to the campus and allow guests to enter and exit campus as they please. Parking fees are charged daily on Monday–Friday, and on Saturday from 7 a.m.–12 p.m. (noon). There is no charge to park after 12 p.m. (noon) on Saturday through 12 a.m. (midnight) on Sunday, and on UW holidays. Complimentary parking is not available, and rates are subject to change without advance notice. Recreational campers and trailers are not permitted to park in UW parking lots. Disability parking permits or other special accommodations must be arranged in advance through Conference Services. For parking rates and more information contact UW, Facilities Services.


Internet Access

 

Guests who bring their own computer can access the internet directly via the Ethernet port in their sleeping rooms. In order to access the internet, guests must have an ethernet card on their computer software. A ethernet cord is required to connect. University of Washington wireless access is available in all public areas of campus and is also accessible in west campus guest rooms. The required login and password will be issued by the Conference Desk.

 


Weather

 

Summer is delightful in Seattle. The average temperature is 74 Fahrenheit/23 Celsius. Heat waves do occur periodically and campus buildings, including the residence halls, are not air conditioned. Be prepared for cooler evenings and occasional rain showers. You should bring a light jacket and umbrella as well as comfortable walking shoes.

Visa Information

 

Applications for visas are sent to the U.S. State Department for a security review.  You can also visit the International Visitors Office website. We advise scientists traveling to the United States to apply for a visa as early as possible; at least six months before visa is needed.

 

Visitors traveling to the United States from all countries (including visa waiver countries) are required to register personal details online at least three days in advance of travel. The Department of Homeland Security (DHS), Electronic System for Travel Authorization (ESTA) is a free, automated system used to determine the eligibility of visitors to travel to the United States. It collects the same information as the paper I-94W form you usually complete when traveling to the United States. ESTA applications may be submitted at any time prior to travel. An ESTA authorization generally will be valid for up to two years. DHS recommends that travelers submit an ESTA application as soon as they being travel plans.

 

To assist you with the Visa application process (not required for countries included in the Visa Waiver Program):

  • Apply for visa at least three (3) months in advance. For countries that are on the State Sponsors of Terrorism List, the State Department suggests applying for a visa six (6) to eight (8) months in advance.

  • Provide your entire trip itinerary, including travel to any countries other than the United States, at the time of visa application.

  • If completion of travel plans is contingent upon early approval of the visa application, specify this at the time of the application.

  • Provide proof of scientific status. For example, proof that you submitted an abstract for the meeting. Do not wait until you receive notification that your abstract has been accepted before applying for a visa. It is very rare that an abstract is denied.

  • Provide meeting website and a copy of your letter of invitation.

  • Provide evidence that you are intending to return to your country of residence. This includes such things as:

    • family ties in current country of residence

    • property ownership

    • bank account

    • an employment contract or statement from employer showing that position will continue after the dates of the meeting

  • Requirements vary by passport-issuing country and citizenship (not merely residency).

     


Visa Waiver Program

 

The Visa Waiver Program enables nationals of 36 participating countries to travel to the United States for tourism or business (visitor (B) visa purposes only) for stays of 90 days or less without obtaining a visa.
