Guidelines for Making Poster Presentations

 

 

All posters will be located in the Exhibit Hall at the Sheraton Chicago Hotel & Towers. Authors should mount their posters on Wednesday, March 4 from 5:00 PM until 11:00 PM. You must be wearing your official meeting badge to gain entry to the Exhibit Hall.

 

 

IMPORTANT: POSTER BOARD SIZE AND FORMAT

 

Each author is allotted one-half of a 4'h x 6'w board, or net space of 3'8" (111.8 cm) HIGH by 2'10" (86.36 cm) WIDE and posters should be formatted in PORTRAIT/VERTICAL format. Posters using more space than allotted will be removed.  Posters will be displayed throughout the duration of the meeting and may be viewed 24 hours a day beginning Wednesday, March 26, at 5:00 PM until Saturday evening. All posters must be removed from the boards by 11:00 PM, Saturday, March 7. The GSA staff, the hotel staff, and the personnel breaking down the boards will not be responsible for posters left on boards by their authors. Work crews will remove posters that remain on the poster boards after 11:00 PM Saturday.

Thursday, March 5:

As shown in the list above, for each of the poster sessions, authors have been assigned a one-hour time slot during which they are expected to be at their poster for discussion. Additional poster times also have been scheduled on Thursday and Saturday evening, during which authors may choose to be present at their posters.

 

On-Site Poster Printing

 

Poster printing is available on site at the Sheraton Chicago Hotel & Towers at the Fedex Office near the lobby.    Prepare your poster and e-mail it in PDF format to usa5063@fedex.com by February 27 at 3 pm (CST) for discounted pricing. You will receive a confirmation e-mail with payment instructions.  If you DO NOT receive an e-mail, call FedEx Office at 312/755-0314 to make sure your e-mail was received. 

 

When you get to the hotel, simply go to FedEx Office on the mezzanine level and pick up your poster.  The office will be open until 7 p.m. daily on Wednesday, March 4.  Be sure to mention your affiliation with the Drosophila Conference for your discounted price of $57.75.  If you have any questions, please contact FedEx Office at usa5063@fedex.com or call (312/755-0314).


 


 

Preparing Effective Posters

 

Each poster author will be assigned HALF of a 6 foot poster board.  Each author will have net MAXIMUM useable space in a portrait/vertical format that measures 2’10” (86.36 cm) wide x 3’8” (111.76 cm) high.

 


Design of effective posters requires careful thought and advance preparation.  It is not sufficient to enlarge an abstract and add a few figures.  When planning a poster, the first task is to identify the one, two, or three principal messages you have to convey.  Then work out the most effective presentation and choose a headline to help highlight each point.

Poster presentations should be designed to summarize current research in graphics forms:  charts, tables, graphs, pictures, etc.  You poster should be self-explanatory so that you are free to supplement and discuss particular points raised in inquiry.  The following suggestion will help in preparing effective poster:

 


 

Mounting and Arranging Materials

  • Prepare a heading at the top of your poster indicating the abstract title, authors and affiliations.

  • Letter should be at least 1” (2.54 cm) high.

  • Materials should be mounted on thin, colored poster paper or cardboard and mounted on the poster board with push pins that will be provided.

  • Arrange materials in columns.


 

Important Display Reminders

  • Your presentation must be legible from a distance of at least 3’ (91.44 cm).  Keep visual materials simple and clear.

  • Detailed information should be provided in smaller type below the heading.  Details of methodology should be brief and should be brief and should be placed at the end of the legend.

  • Simple use of color can add effective emphasis.

  • Do not write or paint on your board.

  • For easy identification, provide a poster heading, listing its title and author(s). Lettering for the title should be at least 1" in height. The GSA will also place a number on your poster board.  That number should NOT be moved. If the number is moved or removed, your poster will not be considered for the poster board competition.

  • Posters should NOT be removed before March 7 at 10:00 p.m. If you need a poster for another presentation you should have a duplicate poster prepared.
